    JOB PURPOSE

    The Facilities and Technical Support Assistant performs business, administrative, and technical tasks in support of Operations Service facilities under the direction of a Facility Manager. This position requires a wide range of skills and training to fully support the ESG facilities staff. Experience and knowledge is required of various software packages and operating systems. This includes, but is not limited to document processing, spreadsheets, PowerPoint, CMMS/ERP systems, and graphic design/computer aided design. The position requires verbal and written communication, technical competence, independent judgment and discretion, priority determinations, execution of ESG policies, attention to details, follow-through skills as well as interpersonal skills. Technical skills are required to perform work in the field performing surveys, inspections, testing, operations, and general maintenance.

    Responsibilities

    MAIN ACCOUNTABILITIES

    Business

     

    • Assist with the creation of budgets and updating projectionsUse CMMS/ERP to analyze maintenance activity and costs to identify efficiency, reliability, and maintainability issues and opportunities
    • Assist with preparation of customer proposals to include developing the scope of work and costs
    • Prepare and present periodic customer report

    Administration:

    • Coordinate and document internal and external facility meetings
    • Track completion of maintenance work orders
    • Review and update job plans
    • Review work orders for accuracy
    • Coordinate visitor access
    • Track facility inventories using CMMS when required and order as needed.
    • Ensure facility office maintenance by performing and/or coordinating performance by others
    • Track facility assets and update status in CMMS
    • Coordinate the sending and receiving of packages, deliveries, and mail
    • Maintains the facility office to include cleaning, repairs, IT systems, and supplies

    Technical:

    • Performs surveys, inspections and tests on equipment
    • Inspects and verifies the work of ESG and subcontractor technicians
    • Conduct safety inspections and reviews of work places and activities
    • Assist technicians in the creation of Job Hazard Analyses
    • Collect utility data for tracking and reporting
    • Assists the Measurement and Verification team in gathering and analyzing utility and equipment operating data.
    • Performs general maintenance and repairs of equipment and buildings requiring practical skills and knowledge. Work tasks includes but is not limited to preventative maintenance not requiring specialized skills or abilities, replacing filters and belts, cleaning and checking on the operation of equipment.The Facilities and Technical Support Assistant performs all duties as deemed necessary by management.

    Qualifications

    JOB REQUIREMENTS

     

    EDUCATION/CERTIFICATIONS and EXPERIENCE

    Minimum:

    • Associate’s degree
    • OSHA 10 Hour Training
    • CPR/First Aid/AED Certified
    • Two (2) years related secretarial experience with office/maintenance organization computer systems. Strong computer skills with in-depth knowledge of MS Word and MS Excel.

    Preferred:

    •  Bachelor’s degree
    • EM385-1-1 Certificate
    • OSHA 30 Hour Training
    • Five (5) years related secretarial experience with office/maintenance organization computer systems. Strong computer skills with in-depth knowledge of MS Word and MS Excel.

     

    COMPETENCY REQUIREMENTS

    • Maturity and professionalism to effectively handle frequent exposure to senior members at ESG, as well as with external organizations, customers, and the public
    • Valid driver’s license and an acceptable driving record
    • Advance skills and knowledge of Microsoft Office programs (Word, Excel, PowerPoint, Outlook, etc.)
    • Ability to successfully handle all aspects of admin support including knowledge of administrative processes, arranging meetings and recordkeeping.
    • Ability to compose and write reports, business correspondence, and procedure manuals
    • Self-motivated and able to work independently with little or no direction
    • Strong communication skills (verbal and written) and interpersonal skills with the ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public
